ICC Table Tennis Academy – Membership Terms & Conditions

MAKING CHAMPIONS ON AND OFF COURT...

Effective Date: 17 July 2026

These Terms & Conditions apply to all players enrolled in ICC Table Tennis Academy ("ICC").

1. Membership Programs

ICC currently offers the following membership programs:

Beginners Program

  • Tuesday: 6:00 pm – 7:30 pm
  • Thursday: 6:00 pm – 7:30 pm
  • Saturday: 10:00 am – 11:30 am

Intermediate & Elite Program

  • Tuesday – Friday: 6:00 pm – 9:00 pm
  • Saturday: 10:00 am – 1:00 pm

Private coaching, holiday programs and special training camps are subject to separate arrangements.

2. Membership Model

ICC operates on a membership model rather than a pay-per-class model.

Membership fees secure a player's place within their allocated training squad and contribute to coaching resources, venue costs and academy operations.

Accordingly:

  • Membership fees remain payable regardless of attendance.
  • No refunds or credits will be provided for missed sessions due to illness, holidays, personal commitments or other absences.

3. Competition Exception

Members representing:

  • Table Tennis Victoria
  • Table Tennis Australia
  • State Championships
  • National Championships
  • Official WTT Events
  • Official ITTF Events

may receive a credit for missed ICC sessions during those competitions, at ICC's discretion.

Supporting documentation may be requested.

4. School Holidays

Unless otherwise advised, regular member classes continue during school holidays.

ICC may also conduct separate Holiday Camps.

Holiday Camps are optional and separate from normal membership classes unless expressly stated otherwise.

5. Class Cancellations

ICC may occasionally cancel sessions due to:

  • Coach illness
  • Venue unavailability
  • Extreme weather
  • Public holidays
  • Other unforeseen circumstances

Where ICC cancels a scheduled class, ICC will either:

  • Provide a credit; or
  • Arrange a make-up session, at ICC's discretion.

6. Communication

ICC communicates primarily through:

  • ICC WhatsApp Groups
  • Email
  • ICC Facebook Page
  • ICC Website

Parents are responsible for monitoring these communication channels.

If no cancellation notice has been issued, members should assume that training will proceed as scheduled.

Parents are encouraged to contact ICC if they are uncertain about any training arrangements.

7. Attendance

Players are expected to:

  • Attend consistently.
  • Arrive on time.
  • Notify coaches if unable to attend where possible.

Repeated poor attendance may affect training group placement.

8. Group Placement

Training groups are determined solely by ICC coaches based on:

  • Current playing level
  • Work ethic
  • Commitment
  • Coachability
  • Training intensity
  • Tournament performance
  • Long-term development

Friendships, age or parent preference do not determine group placement.

Group allocations may change at any time.

ICC's coaching decisions are final.

9. Behaviour

Players must:

  • Show respect.
  • Follow coach instructions.
  • Demonstrate good sportsmanship.
  • Train with effort.
  • Maintain a positive attitude.

Parents must:

  • Treat coaches respectfully.
  • Treat volunteers respectfully.
  • Support a positive training environment.

ICC reserves the right to suspend or terminate membership where behaviour is inconsistent with these expectations.

10. Parent Communication

ICC welcomes constructive feedback from parents and guardians.

Parents agree to raise concerns respectfully and allow ICC a reasonable opportunity to investigate and respond before escalating any matter.

11. Child Collection & Safety

Parents remain responsible for ensuring:

  • Children arrive safely.
  • Children are collected promptly at the end of training.

Players should remain inside the venue until collected.

If a parent is running late, ICC should be notified where practicable.

Players are encouraged to:

  • Contact their parents directly where possible.
  • Ask an ICC coach for assistance.

Coaches will take reasonable steps to assist younger players waiting for collection.

12. Medical

Parents must notify ICC of:

  • Allergies.
  • Medical conditions.
  • Emergency contacts.
  • Medication requirements.

13. Photography

ICC may use photographs and videos taken during training sessions, competitions or Academy events for promotional and marketing purposes, unless parents or guardians notify ICC in writing that they do not wish their child to be photographed or recorded.

14. Membership Suspension

Membership fees continue during temporary absences unless otherwise agreed in writing by ICC.

ICC may approve temporary membership suspensions only in exceptional circumstances at its sole discretion.

15. Membership Termination

Members may cancel their membership by providing 14 days' written notice.

Outstanding membership fees remain payable until the notice period has expired.

16. ICC's Right to Terminate

ICC reserves the right to suspend or terminate a player's membership by providing written notice where ICC reasonably considers that:

  • The relationship between the Club and the player and/or parent has irretrievably broken down.
  • Continued membership is no longer in the best interests of the player, other members, coaches or the Club.
  • There has been repeated or serious misconduct.
  • Membership conditions have been repeatedly breached.

Any prepaid membership fees relating to the period after termination will be refunded where applicable.

17. Liability

Parents and guardians acknowledge that table tennis is a sporting activity involving inherent risks.

ICC will take reasonable care to provide a safe training environment, however ICC accepts no responsibility for injury, loss or damage except where required by law.

18. Changes

ICC may amend these Membership Terms & Conditions from time to time.

Updated versions will be published on the ICC website and communicated to members through the Academy's official communication channels.

19. Entire Agreement

These Membership Terms & Conditions, together with ICC's policies, procedures and guidelines published from time to time, constitute the entire agreement between ICC Table Tennis Academy and the member.

Previous practices, verbal discussions or historical arrangements do not form part of this agreement unless confirmed by ICC in writing.
